What type of information we have 

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details).

  • Payment information such as bank or credit card details.

  • Sensitive information such as medical conditions or therapeutic needs.

  • Professional information such as your accreditations, qualifications and work history.

How we get the information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To sign up for our news and information.

  • To book onto one of our courses.

  • To book one-to-one coaching with Suzette.

  • To make a purchase on our website.

  • To become a patron or supporter.

  • To become a trained facilitator.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  1. Your consent. You are able to remove your consent at any time. You can do this by contacting suzette@visualmedicine.org

  2. We have a contractual obligation.

  3. We have a legitimate interest.

What we do with the information we have

We use the information that you have given us in order to:

  • Provide you with information about Visual Medicine such as newsletters and updates about upcoming courses and events.

  • Provide you with a place on a course including sending you course information, zoom links and resources.

  • Establish your needs and wants in relation to one-to-one coaching including any pre-existing medical conditions you choose to share with us.

  • Supply you with items you have purchased from us. Note that we do not store your payment information ourselves, see below.

  • Grant you access to the member areas of our website so you can experience exclusive content.

  • Maintain a record of our licensed facilitators.

We may share this information with:

  1. Payment processors such as Stripe and Paypal. These secure processing companies retain your financial information and it is not accessible to us.

  2. Our payment plan provider, Paythen, which is directly linked with Stripe and does not store any financial data itself.

  3. Our network of facilitators. As we train others to deliver Visual Medicine courses, we may share your information with a facilitator local to you, with your permission.

How we store your information 

Your information is securely stored in one or more of the following places:

  • At our business premises, in the case of paper records. 

  • On our email, customer and bookings database, provided by Squarespace.

  • On our local computer drives, at our business premises.

We usually keep your data for six years from the moment you share it with us. We may keep data for longer if you are a licensed facilitator or have a long-standing relationship with the business.

We will then dispose of your information by securely destroying it through shredding (in the case of paper records) or permanent deletion (in the case of electronic records).

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
